Why punch lists fail with spreadsheets and photos on a phone
On a construction site, defects appear by the minute: a crack in the plaster, a missing joint, an outlet in the wrong place. When they are collected on slips of paper, in photo albums and in spreadsheets, the same thing always happens: photos can no longer be matched to a location, subcontractors learn about their defects too late, deadlines pass, and at acceptance nobody has an overview.
What punch list software has to be able to do
- Capture on site – with title, location in the building, category or trade, priority and photo.
- Assign to the responsible trade or subcontractor.
- Set and monitor deadlines.
- Track status – from open to accepted.
- Prove who found, corrected and accepted the defect – with dates.
- Filter by construction site, status, priority and category.
A proven status model

The separation between Fixed and Accepted is important: only the review by construction management truly closes a defect.
How to set up punch list management with Maintably
- Create the construction site. Under Construction sites (Baustellen), enter the project number, name, type of construction, construction manager and address.
- Capture a defect. Under Defects (Mängel), tap "New" (Neu), choose the construction site, assign a title and category (for example plaster, tiling, electrical), set the priority and describe the location in the building as precisely as possible: "Ground floor, room 0.08, south window reveal."
- Assign and set a deadline. Enter the responsible trade or subcontractor and set a due date.
- Attach a photo. Take the photo directly with the smartphone – that way it is inseparably tied to the defect.
- Maintain the status. When the trade reports the correction, set the status to "Fixed" and enter the date. After the check, set it to "Accepted."
- Filter before acceptance. Filter by construction site and the statuses "Open," "In progress" and "Disputed" – that is your remaining punch list.
